How to Record and Reconcile e-Transfers in Sage 50 Canada

Record Interac e-Transfer receipts, supplier payments, and bank lines in Sage 50 Canada once, then reconcile them without duplicate entries.

Record an Interac e-Transfer in Sage 50 Canada according to what the payment represents: a customer receipt, supplier payment, internal transfer, refund, loan, or another supported transaction. Then reconcile that Sage entry to the completed bank deposit or withdrawal. The Interac notification helps identify the payment; it is not a second accounting transaction.

The safest rule is one bank movement, one accounting result. Do not create a receipt from the email and another from the imported bank line. Use the invoice, bill, agreement, or other source document to classify the payment, and use the bank record to confirm that it settled.

Where Should an e-Transfer Be Recorded in Sage 50?

The payment channel does not decide the accounting entry. Start with the business event.

An incoming transfer is not automatically sales income, and an outgoing one is not automatically an expense. A deposit, shareholder loan, owner contribution, customer refund, wage payment, or reimbursement needs its own treatment. Ask the business's accountant when the facts do not identify the correct Sage transaction.

Can Sage 50 Import an Interac e-Transfer Email?

Not as a complete accounting record. Sage 50 Canada can receive bank activity through supported online-banking or statement-import workflows, but an imported line may contain only the account, date, amount, and bank description. The notification may contain a displayed sender or recipient, message, status, and Interac reference that the bank description omits.

Use each record for a separate job:

  • Sage transaction: records the accounting event.
  • Bank line or statement: confirms the amount that posted to the account.
  • Interac notification: helps identify the party, direction, status, and reference.
  • Invoice, bill, receipt, or agreement: explains the business purpose and tax treatment.

Sage's current online-banking guidance says downloaded statements can be imported and that transactions may also be imported automatically from a bank account. Use one bank-data path for a date range. A TransferLog CSV is a notification register, not a bank statement, so use it beside Sage rather than importing it as another copy of the cash activity.

How Do You Reconcile e-Transfers in Sage 50 Step by Step?

1. Choose one account and statement period

Start with the oldest unreconciled period for one Sage bank account. Confirm the statement opening balance, ending balance, start date, end date, and currency. Gather the corresponding invoices, supplier bills, existing Sage receipts or payments, bank statement, and e-Transfer notifications.

If more than one business inbox receives notifications, combine the notification details into one review register but keep the bank accounts separate.

2. Confirm what the transfer paid

Match the amount and displayed party to an invoice, bill, agreement, or other source document. Preserve the notification date and bank-posted date separately. Do not guess from the direction of cash or a generic bank description.

The CRA's business-record guidance says transaction records should be supported by source documents. A Sage category and an e-Transfer email do not remove the need to keep the underlying invoice, receipt, contract, or other evidence.

3. Enter or locate the Sage transaction once

For an invoice payment, enter or find one customer receipt and apply the completed amount to the correct invoice. Sage's current Receipts guidance identifies the Receipts window as the place to record customer payments. For a supplier bill, enter or locate the supplier payment using the business's normal Sage workflow.

Keep a useful source number or comment that connects the Sage entry to the invoice and payment register. If only part of an invoice was paid, apply the completed amount and leave the balance open. If a customer overpaid, do not force the excess against revenue merely to close the invoice.

4. Confirm settlement in online banking

Open the financial institution through its known app or website. Match the account, amount, direction, posted date, and status. Interac explains in its e-Transfer help centre that participating financial institutions provide the transfer service; the email or text is a notification layer.

Leave a sent, pending, declined, cancelled, or expired transfer out of cleared totals. If another transfer replaced it, retain both references and match only the completed bank movement.

5. Bring the bank activity into Sage once

Use the bank connection or statement-import process supported by the installed Sage 50 Canada release. Check the imported date range first. Do not add the same line again when it is already present through online banking.

Sage's Reconciliation and Deposits overview describes the window as the place to compare bank-statement transactions with Sage transactions. Keep an unchanged copy of the statement or downloaded file used for the period.

6. Review every proposed match

In Reconciliation & Deposits, compare the imported or statement line with the Sage entry. Sage's 2026 reconciliation instructions say imported statements may be matched using the source number and amount. Verify the customer or supplier, account, amount, direction, dates, invoice or bill, and Interac reference before accepting a suggestion.

Equal amounts are not enough. Two customers may pay the same amount, a spouse may pay for the named customer, or a supplier may trade under another name. Leave an ambiguous item unresolved until the evidence identifies it.

7. Finish the account reconciliation

Enter the statement dates and balances. Mark only transactions that cleared; Sage says uncleared transactions should remain outstanding. Use the Worksheet to investigate the difference, then process and retain the Account Reconciliation report when the cleared balance agrees with the statement.

Do not send an unexplained difference to a miscellaneous account just to reach zero. Check for a missing line, overlapping import, duplicate receipt, transposed amount, separate fee, wrong account, timing difference, or replacement transfer first.

How Should Common Sage 50 e-Transfer Exceptions Be Handled?

  • Several transfers pay one invoice: keep one receipt per completed bank credit and apply them to the same invoice.
  • One transfer pays several invoices: preserve the single bank movement and document allocations that add back to its total.
  • A bank fee posts separately: record the fee from bank evidence instead of reducing the invoice or payment amount.
  • The payer is unknown: keep the credit unresolved while following the unknown-sender checklist.
  • Money moved between owned accounts: record both sides without creating income and expense; use the internal-transfer workflow.
  • A transfer was replaced: keep the failed status trail, but create a cleared Sage entry only for the bank movement that completed.
  • A prior reconciliation is wrong: use Sage's documented correction or void process and retain the audit trail before changing a closed period.

What Does a Clean Sage 50 Match Look Like?

Suppose invoice 2026-118 is $1,130 and the customer pays it by Autodeposit. The file should show one $1,130 invoice, one $1,130 customer receipt, one posted $1,130 bank credit, and the notification reference used to connect them. The invoice balance is zero and the bank line clears in the correct statement period.

If the customer sends $600 and $530 instead, record two receipts and match two bank credits. Do not clone the invoice or combine the notifications into a fictional single deposit. The partial-payment guide covers that running balance.
