How to Record and Reconcile e-Transfers in Xero Canada
A Canadian workflow for matching Interac e-Transfer bank lines to Xero invoices, bills, transfers, and notification records without duplicates.
To record an Interac e-Transfer in Xero, start with the posted bank line. Match it to the existing invoice, bill, expense, refund, or transfer when that transaction is already in Xero. Create a new transaction only when there is nothing valid to match. Then use the e-Transfer notification to confirm details such as the displayed sender or recipient, status, and reference number.
The three records have different jobs: the bank line shows that money settled, the invoice or other source document explains why it moved, and the notification helps identify the payment. Do not import both a bank feed and a statement file for the same activity, and do not treat a TransferLog export as a bank statement. Either can create duplicates.

What Should an e-Transfer Be Matched to in Xero?
Choose the Xero action from the business event, not from the words Interac e-Transfer in the bank description.

Xero's current bank-reconciliation guide describes reconciliation as comparing bank transactions with business records so every item is accounted for. Suggested matches and rules can speed up the review, but the person reconciling still needs to check the contact, amount, account, tax treatment, and source document.
Which Record Proves What?
Use a simple evidence chain for every e-Transfer:
- Bank record: the posted deposit or withdrawal in the financial institution and the corresponding Xero bank line.
- Business record: the invoice, bill, receipt, contract, credit note, loan agreement, rent roll, or other document that explains the purpose.
- Notification record: the supported Interac email details, including direction, displayed name, amount, date, status, and reference number when available.
An email saying that a transfer was sent is not the same as a posted bank transaction. An invoice explains what was sold or purchased but does not prove that it was paid. A bank description may show an amount without identifying the correct invoice. Reconciliation connects the three.
The Canada Revenue Agency's business-record guidance requires organized accounting and supporting records appropriate to the business. Xero and TransferLog can help organize parts of that trail, but neither replaces the original source documents.
How Do You Reconcile e-Transfers in Xero Without Duplicates?
1. Choose one bank account and statement period
Start with one Xero bank account and the oldest unreconciled period. Confirm the financial institution, account, opening point, and statement end date. Keep different bank accounts separate even when the same inbox receives notifications for all of them.
If a bank feed already covers the period, do not upload the same transactions again. Xero's manual bank-statement guidance explains the supported file process for gaps in a feed. Import only the missing date range and review the file before accepting it.
2. Prepare a notification-side review list
For each relevant notification, record:
- Sent or received direction
- Displayed sender or recipient
- Customer, supplier, employee, tenant, owner, or other known party
- Amount, notification date, and bank-posted date
- Status and Interac reference number, when available
- Related invoice, bill, receipt, or internal reference
- Expected Xero match and any exception note
Do not count every email as a separate payment. A request, reminder, send notice, Autodeposit confirmation, cancellation, and expiry can describe stages of one transfer. Connect related messages by reference, amount, people, and timing.
3. Confirm that the money settled
Open the bank or credit union through its known app or website. Match the notification to a completed deposit or withdrawal before clearing an invoice or bill.
Keep a pending, declined, cancelled, or expired attempt out of settled totals. If a replacement transfer completed later, preserve both payment events but match only the posted movement. The pending and replacement e-Transfer workflow covers that lifecycle.
4. Search for an existing Xero transaction first
For each bank line, search for the invoice, bill, expense claim, refund, prepayment, overpayment, or transfer already recorded. Compare direction, amount, date, contact, reference, and supporting document before accepting a match.
The same amount on a nearby date is not enough when several customers pay the same price or several tenants pay the same rent. The displayed e-Transfer name may belong to a spouse, employee, trading name, or accounts-payable contact. Keep both the displayed name and the Xero contact, plus a note explaining the match.
5. Create a transaction only when no valid record exists
If there is nothing to match, determine what the payment represents before creating a transaction. An incoming e-Transfer is not automatically sales income, and an outgoing transfer is not automatically a deductible expense.
It could be a customer payment, supplier refund, owner contribution, shareholder loan, reimbursement, internal transfer, or personal amount that needs correction. Use the source document and the business's accounting policy to choose the contact, account, tax rate, tracking category, and description. Ask the bookkeeper or accountant when the classification is uncertain.
6. Check tax support separately
The payment channel does not establish whether GST/HST applies or whether an input tax credit is supported. The CRA's input-tax-credit guidance sets documentary requirements for invoices, receipts, contracts, and other business papers. Keep those documents with the Xero entry; an e-Transfer notification alone may not contain the required supplier and tax information.
7. Finish with the statement balance and exception list
After resolving individual lines, compare the Xero reconciliation with the bank statement for the same account and period. Investigate a difference, missing line, opening-balance problem, duplicate import, wrong bank account, or item marked paid before it posted.
Keep unresolved items visible with an owner and next action. Do not make an unsupported transaction merely to force the reconciliation difference to zero.
How Do You Handle Common e-Transfer Exceptions in Xero?
A customer pays part of an invoice
Apply only the amount received and leave the remaining invoice balance open. If several transfers pay one invoice, preserve each bank line. Use the partial-payment workflow for replacement transfers and allocations.
One transfer covers several invoices
Keep the original bank-line total and allocate it to the supported invoices. Do not split the source evidence into unrelated fictional deposits.
The customer overpays
Do not force the full deposit into sales or write off the difference. Match the invoiced amount and preserve the excess according to the facts, often as an overpayment or customer credit until it is refunded or applied. See the customer overpayment workflow.
Money moves between the business's own accounts
Match both sides as an internal transfer so the withdrawal does not become an expense and the deposit does not become income. The internal e-Transfer guide explains the clearing and timing checks.
A refund or correction appears
Preserve the original sale or expense and record the correcting bank movement separately. Link the credit note, approval, and tax adjustment when applicable. Do not edit the original payment into a failed transfer after the refund settles.
The bank charges a separate fee
Match the gross obligation and payment to the invoice or bill, then record a separately supported bank charge when it appears. Do not invent a fee to make two amounts agree.
Should You Import a TransferLog CSV Into Xero as a Bank Statement?
No. A TransferLog CSV is a notification register, not a bank-statement file. It can help identify vague bank lines and group lifecycle messages, but it does not independently prove settlement or contain every field required for a Xero bank import.
Use the bank feed or a financial-institution statement export for Xero. Use TransferLog beside Xero to search supported incoming and outgoing notification details by sender or recipient, amount, direction, date, status, reference, category, and connected inbox.
